Why Switch to Our AI Inventory System?

Creating inventory reports traditionally takes hours. Our AI Inventory System revolutionises this process, reducing the time required to minutes instead of hours. Upload photos of each room, and the AI will automatically analyse these images, listing items, their condition, and other relevant details.

How to Use the AI Inventory System

1. Create a Template:

  • Navigate to the Tenancy Builder and click "AI Inventory" in the sidebar.
  • Click "Add New" and enter the tenancy address and preparer's name.
  • Add rooms in the desired order and upload photos for each room.
  • Click "Analyse Images" to let the AI process the images and generate a detailed list of items and their conditions, including a room summary. You can edit all items.
  • Optionally, you may add an AI comment, which the AI will consider while analysing the images. For example, you might say that the room has been fully decorated and the smoke alarm has been tested.
  • Save the template for future use.

2. Generate an Inventory Report:

  • Expand the desired template from the templates list.
  • Click "Add Inventory" and select a tenancy or enter custom details.
  • Once completed, download the PDF using the actions button.
  • Optionally, send the PDF for digital signing.

Using the AI Inventory System as a Manual Inventory Creator

For customers who prefer not to use the AI image analysis feature, the AI Inventory System can still be utilised as a manual inventory creator. Although we no longer offer a traditional manual template (such as a Word or PDF document), you can manually add items to each room within the AI Inventory interface by following the same initial steps:

  • Create a template and add rooms as usual.
  • Instead of clicking "Analyse Images," you can skip the AI analysis step.
  • Manually add items for each room by entering the item name, condition, colour, and a detailed description.
  • Edit or delete items as needed to ensure the inventory accurately reflects the property.
  • Save the template and generate the inventory report as normal.

This approach allows you to maintain complete control over the inventory content while benefiting from the system’s organisation and report-generation capabilities, without relying on AI image processing.

Updates

The inventory AI instructions have been updated to consider the condition "professional" when analysing images and producing the list of items and descriptions. Professional means the item appears to be new or professionally cleaned. We will be interested in feedback on whether the AI distinguishes between professional and good when you are using it.
We have added "Professional" to the dropdown options under conditions in the list of items. Later this week, we plan to incorporate the same in AI and see if it can distinguish professional from good when analysing images.
