How to Add a New Landlord in Tenancy Manager

This guide will walk you through adding a new landlord to the Tenancy Manager application. A video tutorial for visual assistance is also available below. Follow these steps:


Steps to Add a Landlord

  1. Access the Dashboard
    Visit the Tenancy Manager at https://docs.landlordsguild.com.
  2. Navigate to "All Data"
    Click "All Data" in the sidebar.
  3. Initiate the Add Process
    Select the "Add New Landlord" button.

Fill Out Landlord Information

  • Enter a unique description for the landlord (see below).
  • Name: Enter the landlord’s name (used in tenancy agreements).
  • Address: Add the landlord’s address. Agents can use their own address if managing the property.
  • Email: Include the landlord’s email (agents may use their email).
  • Telephone: Enter the landlord’s phone number (agents may use their contact number).

What do I put in the description before entering the landlord's details?

The description should be unique and memorable, especially if you have multiple landlords.

When selecting a landlord from the several dropdowns throughout Tenancy Manager and Builder, the description is always shown for easy, glanceable selection.

Landlords

If you're a private landlord, you might have some properties in a sole name, some in joint names and some in a limited company.

Each landlord might contain the following (or similar) in the description field:

  • Sole name: Default, My Props or Adrian
  • Joint names: Joint props or Adrian and Rachel
  • Limited company: Company or HLS Ltd.
Letting agents

Letting agents with many landlord clients might use a different strategy in the description field. A unique term you're familiar with for each client might be best. For example, you might use the surname or company name of the customer, and if clients have a similar name, make something identifiable for that one.

Set Management Preferences

  • Choose whether you manage the landlord:
    • No: If you are the landlord.
    • Yes: If you manage the landlord’s tenancies. Rents received will appear in statement runs.

Optional Contact Information

  • If you select "Yes," you can provide personal contact details for the landlord (not shown on tenancy agreements but used in statement runs).
  1. Save the Information
    Click "Save" to finalise the landlord’s details.
  2. Confirm the Addition
    The landlord will now appear in the "All Data" section. They can be selected when creating a new tenancy.

 

Quick Tip

  • You can also add a landlord directly while creating a tenancy agreement.
