How to Send an Inventory for Digital Signing
After the AI inventory has done its magic, it's easy to create a PDF inventory and send it using the integrated digital signing feature.
To send the inventory for electronic signing, follow these steps:
1. Create a PDF Inventory
A PDF inventory is a snapshot of the inventory template.
- Go to the Templates list.
- Click the small triangle on the left of the template where you want to generate a PDF to expand the record.
- Click Add inventory on the right.
- Select a tenancy from the Builder or click Custom.
- If Custom was selected, enter the start date, tenant name, and email, then choose whether the inventory is check-in, interim, or check-out.
- To add more tenant names, click Add tenant.
- Optionally, enter meter readings.
- Optionally, add user notes. These will not be displayed on the inventory PDF.
- Optionally, add inventory notes. These will be displayed at the bottom of the inventory PDF.
- Click Save and wait for the inventory to be completed.
- Click Download from the Actions button and check that everything in the PDF looks correct.
2. Submit the PDF for Digital Signing
- Select Digital Signing from the Actions button beside the PDF inventory.
- Check that all fields contain a value and that the names and emails are correct.
- Click Submit to send the inventory for electronic signing. 100 credits will be used, the same as the Tenancy Builder signing.
3. Sending Order
- The inventory will be sent to the landlord or agent first, who will be named the inventory clerk.
- Next, it will be sent to each named tenant, one by one, after each has signed.
- If all parties do not sign the inventory within seven days, it will expire and be automatically accepted.
- Tenants can add comments before signing.
4. Check the signing progress
After an inventory has been submitted for digital signing, you can track all events, such as when it was sent to a party, opened, and signed.
To view these events, click the small triangle next to the PDF inventory to expand the record.
From this view, you can also:
- Cancel the digital signing (all parties will receive an email)
- Silent cancel, which expires the document without notifying any parties
- Preview the document
- View the filename. If you need support with the signing, click the filename to copy it to your clipboard and paste it into a message to us.
